This guide is designed to support Registered Training Organisations (RTOs) in reviewing and validating AI-generated training and assessment content created using Coursebox. The guide outlines how to use Coursebox outputs responsibly, ensuring alignment with the Standards for RTOs and relevant training package requirements.
Important: This is a guide only. It does not replace the role of qualified learning designers, assessors, or compliance officers. RTOs remain solely responsible for ensuring that all training and assessment resources used in accredited delivery are compliant, fit for purpose, and validated by appropriately qualified personnel.
Purpose and Scope
As AI tools become more integrated into education and training, it is essential for Registered Training Organisations (RTOs) to understand both the opportunities and limitations of these technologies. This guide has been developed to support RTOs in the responsible and compliant use of Coursebox AI-generated content.
This guide helps RTOs:
- Review and validate AI-generated outputs from Coursebox.
- Understand the compliance limitations of using AI in course development.
- Apply good practice for contextualising and customising resources to suit industry, cohort, and mode of delivery.
It applies to all users generating, editing, or managing units of competency, learning materials, or assessments within Coursebox.
Limitations and Disclaimer
Coursebox offers AI-powered tools that can support the rapid creation of training and assessment resources. However, these tools are intended to assist—not replace—the professional judgment, expertise, and responsibilities of RTO staff.
All AI-generated content must be treated as a starting point only. To ensure compliance with the Standards for RTOs 2015 and alignment with relevant training packages, RTOs must undertake thorough professional review, validation, and contextualisation before any materials are used in accredited delivery.
While Coursebox offers valuable tools to support the development of training and assessment materials, it is essential to understand the platform’s limitations regarding compliance and regulatory standards.
The information and resources provided by Coursebox are intended to assist RTOs but must be used with professional oversight. This section outlines the key limitations and responsibilities for RTOs using AI-generated content.
From time to time, Coursebox may provide demonstrations, user guides, or training videos to illustrate how features (such as the Unit of Competency to F2F Training Package builder) operate.
- Educational Purposes Only: Such materials are provided for illustrative and educational purposes only and do not guarantee or imply that resulting resources are compliant with ASQA or any other regulatory standards.
- No Public Endorsement by Experts: Any third-party expert contributors to support materials do not provide legal or compliance endorsement for resources generated by Coursebox or for the suitability of those resources for RTO purposes.
Australian RTO Compliance Responsibility
If you are an Australian Registered Training Organisation (RTO) or acting on behalf of an RTO, you acknowledge and agree that:
- No Implied ASQA Compliance: Coursebox, Open Tute, and their AI-powered features do not represent or warrant that any training, assessment, or related resources generated, modified, or published using the platform are compliant with the Standards for RTOs, ASQA, or any other regulatory or funding body requirements.
- User Validation Required: You are solely responsible for reviewing, customising, validating, and updating all outputs—whether generated by AI, template, or user input—to ensure they meet the relevant regulatory, industry, and organisational requirements before use.
- Professional Review: All resources intended for accredited training and assessment must be reviewed and approved by suitably qualified staff (such as compliance managers, instructional designers, or other relevant experts) within your organisation.
- No Substitute for Expert Advice: Coursebox tools and any instructional materials (including videos, guides, or templates) are intended to assist with resource creation and do not constitute compliance, legal, or educational advice. RTOs should seek independent professional advice for all matters regarding compliance and validation.
- User Indemnity: To the extent permitted by law, you indemnify Coursebox Pty Ltd, Open Tute Pty Ltd, and their related parties from any claims, losses, or regulatory actions arising from the use of AI-generated or platform-generated resources that have not been validated as compliant by your own qualified personnel.
User Acknowledgement
By using Coursebox to generate, adapt, or manage training and assessment resources, RTOs and their staff expressly acknowledge their responsibility to:
- Undertake their own validation and quality assurance processes,
- Remain up-to-date with all regulatory obligations and changes, and
- Not rely on Coursebox or its AI-powered features as a replacement for qualified human review or regulatory consultation.
Summary of Good Practice
While Coursebox AI tools can accelerate the creation of training and assessment materials, it is essential that RTOs adopt a structured and compliant approach when using any AI-generated content. The following practices are recommended to ensure that your materials meet the expectations of ASQA and align with the Standards for RTOs:
Use Coursebox AI outputs as draft content only
Treat all AI-generated materials as a starting point. They should be reviewed and refined to reflect the appropriate depth and complexity required at the unit’s AQF level (e.g., Certificate II vs Diploma).
Undertake a qualified professional review before delivery
Have all content reviewed and validated by suitably qualified staff, such as instructional designers, compliance officers, or trainers and assessors, to confirm alignment with unit requirements and AQF level expectations.
Customise and contextualise each unit
Adapt content to your specific learner cohort, delivery mode, and industry context. Ensure relevance, accuracy, alignment to the latest version of the training package and cognitive demand appropriate to the AQF level.
Maintain clear documentation and mapping evidence
Keep clear records of how each component maps to the unit’s Elements, Performance Criteria, Performance Evidence, Knowledge Evidence, and Assessment Conditions. Include notes on how complexity has been adapted to suit the AQF level.
Seek guidance from qualified professionals where needed
Consult learning and compliance professionals when in doubt—especially when adjusting materials for AQF level suitability, interpretation of training package requirements, or assessment strategies.
Instructional Designer Custom Support
While RTOs are ultimately responsible for the validation and compliance of training and assessment materials, Coursebox also offers access to qualified learning design professionals to support your content development needs.
RTOs may engage with Coursebox’s network of experienced learning designers to assist with:
- Reviewing and refining AI-generated content
- Aligning resources with unit requirements and AQF levels
- Mapping learning materials and assessments to Performance Criteria, Performance Evidence, and Knowledge Evidence
- Ensuring instructional design aligns with best practice and adult learning principles
- Supporting contextualisation for industry and learner-specific needs
These services can help save time, improve resource quality, and strengthen internal validation processes.
Important Reminder
Even when using Coursebox learning designer services, the RTO remains responsible for:
Final validation and approval of materials
Maintaining compliance documentation and mapping evidence
Ensuring delivery and assessment practices meet ASQA and training package standards
